Castald Estate

The business, the money and the post.

Companies, accounts, invoices, the inbox and the diary, seen from one place and kept apart from the house.

I. The morning ledger

The state of the estate, before nine.

Cash across every account, what is overdue, what falls due this week and who is on site. Exact figures, with the source named.

Ashcombe Holdings Monday 12 October, 07:00

Good morning.

Cash is steady. Two invoices want chasing, and the VAT return is due on Thursday.

Cash position £48,212.40 across 4 accounts
Overdue 2 invoices · £3,960.00
VAT return Due Thursday 15 October
Takings yesterday £2,184.50, from Stripe
On site today 11 people on 2 projects

I’ve drafted chasers for the two overdue invoices, £3,960.00 in all. Send them?

An example ledger, for an example estate.

II. The money

Every account, read as one.

Xero, QuickBooks and Stripe side by side: the cash in each account, invoices overdue, bills falling due, payouts and takings by the day.

Castald reads your books. It does not post to them, and paying anyone always waits for your yes.

III. The structure

Companies, holdings and who owns what.

Draw the estate once: the companies, the trusts and the shareholdings between them. Castald works out the rest and keeps the projects moving.

The structure, drawn

A chart of every company and holding, with ownership worked through each layer and a warning wherever the records disagree.

Projects and tasks

Milestones and tasks for each project, with whatever is late brought forward. Say a list out loud and it becomes tasks.

Takings, by the day

Revenue from Stripe by day, by month and by company, each account counted once however many companies share it.

IV. The post and the diary

The post, answered in your words.

Mail and calendars from Google, Microsoft 365 and iCloud, across every account you keep. Your steward finds what is unanswered, drafts the reply and finds the time.

Nothing leaves in your name until you have said yes.

Shall I send the two replies as drafted?

V. Errands

“Renew the fleet insurance, and find out why the Stripe payout failed.”

An errand is a longer job, carried from start to finish. You approve the plan once. Your steward does the steps, waits for the replies and comes back only when it needs a decision.

VI. Kept apart

The house and the business never mix.

A business is its own space, with its own members, screens and connections.

  • Your staff see the business, and nothing of the house.
  • The household never sees the books.
  • A screen in the office shows the business; the hall shows the house.
  • Your own steward, on your phone, looks across both, for you alone.

A steward for the whole estate.

Tell us a little about your house and your business. We will be in touch.
